Description:

The Administrative Assistant is responsible for assisting the Department in managing the daily affairs of the office. This position will provide a wide range of clerical duties such as answering phone calls, providing excellent customer service, and monitoring emails. This position will also be involved with the processes that include bids, purchase orders, and invoices for payment. This position must excel at problem solving and understanding the importance of handling confidential information.

Requirements:

Essential Functions:

  • Enter requisitions including requests for purchase orders for $500 + and invoices for $499 and less;
  • Learn to navigate contracts and make purchases from contracts as appropriate;
  • Monitor foot traffic throughout the day;
  • Monitor calls and emails;
  • Receive and log deliveries;
  • Prepares general correspondence, memos, and spreadsheets as directed;
  • Manage the work requests;
  • Update work order system and ensure work orders are completed and closed out timely;
  • Assist with the organization of files and records, both paper and electronic;
  • Monitor credit card purchases;
  • Check invoices against contract for accuracy;
  • Coordinate College events with other departments as necessary;
  • Performs other related tasks as required.

Job Requirements:

Education: High School Diploma or equivalent and commiserate experience required, bachelor's degree preferred. Job-related experience may substitute for a degree.

Experience: Some experience in administrative support is required, 3-5 years is preferred.

Skills: Excellent communication skills, written and verbal; excellent organizational skills and attention to logistical details; ability to establish and maintain positive relations with all department and external clients and supporting service providers; ability to simultaneously handle a variety of tasks and successfully manage deadline-driven initiates. Proficiency in duties typically performed by an administrative assistant with a high level of competency in Microsoft Office 365.
